Privacy Policy

Who we are

This website belongs to ACT-SO Lafayette, a program of the NAACP Lafayette Branch (“we,” “us”). It is built and maintained on the program’s behalf by Collective Reach LLC, a Louisiana limited liability company doing business as Creative Reach, Lafayette, Louisiana. ACT-SO and NAACP are marks of the National Association for the Advancement of Colored People. This site is run locally and is not the NAACP’s national website.

This policy explains what this website collects, what it does not, and how to reach us about it.

What this site collects

Visiting the site

We do not run analytics, advertising, or tracking on this site. No Google Analytics, no pixels, no fingerprinting. The site is hosted by Vercel Inc. (United States). Like any web host, Vercel’s servers receive your IP address, browser type, the pages you request, and the time of each request in order to deliver the pages and defend against abuse. Vercel keeps those logs for a short period under its own privacy policy; we do not use them to identify you.

The sign-up forms

The student interest form asks for the student’s name, grade, and school, the categories they are drawn to, and a parent or guardian’s name, email, and phone. The volunteer form asks for your name, email, phone, the role you want, your field, and, for judges and mentors, a résumé or a link to your work and a few sentences about your background. Each field is there for one reason: to pair a student with a mentor, to seat a qualified panel, or to reach the family with orientation details. We ask for nothing we do not use.

Every submission is sent by email to the ACT-SO Lafayette chair through Twilio SendGrid, our email delivery service. Student submissions are kept only as that email; they are not entered into any database. Volunteer submissions (judges, mentors, committee members, sponsors) are also recorded in Calltime, the production-management platform built by Creative Reach and hosted on Supabase in the United States, so the program can review credentials and seat panels. In Calltime, an application and any résumé are visible only to the program’s leadership. Calltime’s own policy is at checkcalltime.art/privacy.

The optional referral consent on the student form is exactly that: optional. If you say yes, we may share your child’s competition performance with their school to support a Louisiana gifted and talented referral. If you leave it empty, we do not.

Email

If you email us, we keep the message for as long as we need it to reply and to keep a record of the conversation. Our mailboxes are hosted by Google Workspace.

Cookies and local storage

This site sets no cookies of its own and loads no third-party scripts that would set them. Details are in the Cookie Policy.

How we use information, and who sees it

We use what you give us to answer you, to do the thing you asked for (pair a student with a mentor, seat a judging panel, send orientation details), and to keep the records the law requires. We do not sell personal information, we do not share it with advertisers, and we do not send marketing email to anyone who has not asked for it.

The only companies that handle data for this site are the service providers named above: Vercel (hosting), Twilio SendGrid (form delivery), Supabase (Calltime’s database), and Google Workspace (email). Each processes data only to provide its service to us. We will disclose information if the law requires it or to protect someone’s safety.

Children

ACT-SO is for high-school students in grades 9 through 12. The student form is written for a parent or guardian to complete, and the contact details it asks for are the adult’s. We do not knowingly collect personal information from a child under 13 through this site. If you believe a child under 13 has sent us information, email us and we will delete it.

Your choices and rights

You can ask us what personal information we hold about you, ask us to correct it, or ask us to delete it, subject to records we must keep (for example, a paid order or a tax acknowledgment). Email josiah@actsolafayette.org and we will answer within 30 days. We do not discriminate against anyone for exercising these rights. Residents of states with privacy laws (such as California) have the rights those laws provide; we honor them for everyone.

We do not respond to browser “Do Not Track” signals because we do not track. Global Privacy Control signals are likewise moot: there is no sale or sharing to opt out of.

Security and retention

The site is served over HTTPS. We keep personal information only as long as we need it for the purpose it was given, then delete it. If a breach ever affects your personal information, we will notify you as Louisiana’s Database Security Breach Notification Law and the law of your own state require.

Changes and contact
